About the role

We are seeking an experienced Administration Assistant to join our Maintenance Services team at our Hay Point Coal Terminal on a Monday to Friday roster. Reporting to the Superintendent, Maintenance Services, you will be responsible for providing general administration assistance to the maintenance teams. You will have the ability to handle a large volume of work in a fast paced environment as well as being able to manage various responsibilities with excellent attention to detail. This position is being offered as a 12 month fixed term position with possible extension, working a 5/2 roster on site at Hay Point.
In this role you will:  
  • Report generation and distribution.
  • Generic administration including data entry, filing and other ad hoc duties.
  • Creating Purchase Requisitions in liaison with suppliers and business partners.
  • Document control and records management.
  • Creating and publishing site notifications.
  • Admin support for training and on-boarding. 
  • Contractor management compliance support.

About You

As the successful candidate, you will be an experienced Administration Assistant with previous experience supporting a high functioning team based on site, preferably in the coal mining industry.
Advanced experience of systems including MS Office; Microsoft Outlook, Excel, Word and PowerPoint. Particularly in MS Excel and PowerPoint is required as you will be required to create / update PowerPoint presentations and update communication materials to support team updates.
SAP experience, as will having knowledge and experience in LMS, Sharepoint and Document Control experience would be highly regarded, knowledge of the BHP Contractor Management Framework would be advantageous.
You will operate with a high level of autonomy and have the ability to build collaborative relationships with team members, your peers and other internal and external stakeholders.
You will be a responsible, accountable contributor to a busy team and relied upon to deliver on your required tasks.
Mackay is a coastal location within the Whitsundays region, therefore accommodation is not included as part of the employment package. The successful candidate will be responsible for their own housing requirements.
