About the role

Purpose
To partner with the Vice President Corporate Affairs to assist with discharge of his duties, including administration with respect to time optimisation, meeting coordination and travel, purchasing and expense reconciliation, issues management and problem solving.    

Core Accountabilities


  • Develop a forward schedule for the Vice President Corporate Affairs in respect to time in field, employee engagement, leadership routines and external engagements.
  • Provide daily support with logistics and diary management for Vice President Corporate Affairs arrangement of meetings, preparation for meetings, and coordination of travel and site visits.
  • Support the Vice President Corporate Affairs in operating discipline by ensuring process requirements and compliance are adhered with respect to Finance (Employee Expense Management), HR (Performance cycles), Supply (Purchase Requistions/Orders) and all relevant Compliance Approval Workflow (Code of conduct, anything of value, conflict of interest) are complied with.
  • Support the National Social Investment portfolio through preparation and verification of quarterly reporting for the BHP Sustainability Report.
  • Collation of the monthly CEAO Report and other ad hoc reports as required for and on behalf of the Vice President Corporate Affairs.
  • Provide support with specific projects requiring Corporate Affairs expertise, including the national community campaign.
  • Provide support to national cost centre managers around purchasing, monitoring of budget, development or reforecasts and master data changes.
  • Drive and champion the use of collaboration tools and technology within the team to optimize time and increase collaboration.

About You

Qualifications
  • Technical education minimum, University education would be desirable.



Experience and Technical Competencies


  • 8+ years as Analyst or similar positions in a large organization or equivalent.
  • External or Corporate Affairs background, with solid experience in supporting a Senior Executive of a large organization.
  • Success working with diverse teams in multiple locations and time-zones through both direct and indirect influence.
  • Proven ability to work with conflicting priorities and time critical deadlines.
  • Demonstrated experience of managing large volumes of electronic material, including emails, meeting agendas and pre-read, board papers and other material as received and needed.
  • Strong experience in event planning logistics.  
  • Demonstrated experience with stakeholder engagement.
  • Resilient and ability to deal with change.
  • High attention to detail.
  • Oriented to solve problems and take actions under pressure.
  • Ability to work with sensitive material and confidential information.
  • Exceptional organisation skills.
  • Advanced level of English (Spoken and written).
