About the role

Asset Systems within BMA provides support for the operations with aligned systems used across all sites. This includes operating procedures, training packages and other systems. In these roles you will have the ability to influence and drive direction in respect to contractor management.   As an integral member of the Asset Systems team, you will work to assist the team to provide administrative support for contract management and facilitate contract compliance within the group. Creation of purchase requisitions in 1SAP system and reconciling of claims/invoices. Reconciling of claims/invoices of purchase requisitions in 1SAP system. This is a permanent position working in the BHP Brisbane office.

In this role you will:
  • Provide contractual administration support within the Asset Systems team;
  • Reconciling of claims/invoices of purchase requisitions in 1SAP system.
  • Assist the team with all systems related (SAP) contract management processes;
  • Assist the team with contracting and tendering requirements;
  • Champion our Compliance Standards and provide assistance in monitoring and managing KPIs;
  • Manage contract variation documents and minor contracts; and
  • Appropriate document management control for contracts managed by the team.
  • Contract Cost Tracking in line with budget and forecast and EOM
  • Raise Purchase Requisitions for Department and review and approve invoices submitted
  • Daily, weekly and monthly reporting
  • Minute taking for ongoing and consistent engagement meetings with vendors
  • Issue Non Conformances against Contracts where required
  • System administration e.g. creation of master agreements, workflow variations, project close outs etc.
  • Assistance with tendering activities e.g. tender pack development and administration of tenders through the receipt and distribution of tender documentation, plus the facilitation of tender clarifications etc.
  • Assistance with contract administration e.g.  preparation of kick-off meetings
  • Assistance in reporting requirements, GLD compliance checks, and other procedural requirements
  • Ensure conformance with the BHP Billiton Charter, the BHP Billiton Group Level Documents, Code of Conduct and relevant statutory obligations.

About You

  • An understanding of the Queensland Mining Act and Regulations
  • Experience administering mining or similar contracts;
  • Previous experience with the contract administration including the ability to manage issues arising from the operation of the contracts, preferably within the mining industry;
  • A curiosity and passion for turning insights into initiatives for the team;
  • Demonstrable writing skills including preparation of business reports; and
  • Excellent communication, computer skills, knowledge of MS Office programs, SAP and procurement systems would be preferred but not essential.
