About the role

The Onboarding Coordinator supports the onboarding process for Operations Services new hires.
The key focus of the role is to create a positive experience for all front line people joining Operations Services.

The Onboarding Coordinators call all new starters to welcome them, they provide onboarding materials, order personal protective equipment, order technology equipment and access, arrange site and building access, prepare orientation materials, and track all supporting processes to ensure new hires are site ready on day 1.
  • The key accountabilities for the role include:
  • Manage and coordinate on-boarding activities for bulk recruitment
  • Participate and contribute to routine Operational Readiness activities
  • Develop sustainable on-boarding processes for the frontline and corporate office
  • Procure Personal Protective Equipment
  • Procure and manage IT equipment including issuing various mobile devices; arrange all system access
  • Support set up of mobile devices as required
  • Work closely with training and resource deployment to ensure training, flights and accommodation are booked and communicated to new starters within agreed timeframes
  • Track medical processes to ensure new starters have all required medical credentials prior to deployment to site
  • Facilitate building inductions and site access across various assets
  • Identify and request site access exemptions where required
  • Highlight and escalate quickly where there is a risk to site readiness
  • Raise purchase orders and reconcile month end payments
  • Identify and develop strong relationships with internal and external stakeholders
  • Assist in the coordination and facilitation of inductions as required, including the leaders week induction for all new
  • Operations Services leaders
  • All other administrative duties as assigned

About You

  • Ability to communicate and interact well with people of all ages and diverse backgrounds
  • Excellent written and verbal communication, including grammar, punctuation, spelling and composition
  • Proven work experience with onboarding, as a coordinator or in a similar role
  • Excellent organizational and time management skills
  • Proven ability to take the lead on problem solving and to work with minimal supervision
  • Highly organized with the ability to prioritise and manage multiple tasks simultaneously
  • Proficiency with Microsoft Office Suite, including Word, Excel, PowerPoint and SharePoint
  • Attention to detail
  • Strong communication skills with the ability to manage relationships with a variety of stakeholders; and
    Desire and ability to work in a fast-paced dynamic environment
