About the role

We are seeking two experienced Maintenance Administration Assistants to join our team at our Daunia Mine Site working a back to back 7 days on / 7 days off roster.

Reporting to the Superintendent Mobile Maintenance, you will provide a wide range of day-to-day administrative duties to support our high performing team, providing you with exposure to an Open Cut Coal mining operations in Queensland. You will be encouraged to be inquisitive and put forward new ideas and as such, you will be a responsible, accountable and independent contributors to a busy team.

In this role you will be responsible for:
  • Generic administration including data entry, filing and other ad-hoc duties;
  • Understanding day to day processes of a maintenance department;
  • Contributing to the on-boarding of new employees;
  • Developing a process to manage leave and crew manning.
  • Understanding teams training requirements and ensure training matrix is up to date;
  • Assisting with Contractor Management to ensure compliance;
  •  Managing all flights and accommodation for the maintenance team;
  • Establishing and maintain confidential records, correspondence and related material;
  • Document control and records management;
  • Booking and coordinating site visitors onsite when required;
  • Report generation and distribution;
  • Creating Purchase Requisitions in 1SAP in liaison with suppliers and business partners;
  • Creating and publishing site notifications;

About You

As one of our successful candidates, you will be an experienced Administration Assistant with previous experience supporting a high functioning team, preferably in the coal mining industry. You will operate with a high level of autonomy and have the ability to build collaborative relationships with the team members, your peers and other internal and external stakeholders. 

This role will be a great fit for someone who is dynamic, enthusiastic and enjoys working and multitasking in a fast-paced environment. Solid experience of applications including MS Office suite; particularly in MS Excel and 1SAP will be viewed favorably.

A flexible attitude, strong negotiation skills and the ability to respond efficiently to your team members and stakeholders’ need will also ensure your success in this role.
