About the role

Reporting to the Regional Property and Workplace Manager for the Americas, this person will be responsible for the project management and development of new workplace environments in field and satellite offices from study phase through commissioning.  Accountabilities will include, but not be limited to

Stakeholders: Engages with leaders and line managers responsible for Field locations, to build an understanding of business requirements, priorities, and to influence and engage to deliver optimum property and workplace outcomes.  Focus on engagement is on delivering value and improving and standardising office environments.                                                                                                                                                                                                             
Team:  Develops, leads and contract manages expert vendor teams to execute the required scope of works. Appointment of vendors in line with Commercial process standard. Works collaboratively with Center of Excellence (CoE) Portfolio Performance, Projects and Design to help shape the establishment of a standardised Field services practice.

Portfolio and Workplace strategy and planning: Leads the identification and scoping of initiatives, in collaboration with CoE and vendor teams, to develop a strategy and initiative plan for the Asset specific portfolio and workplace. Representing Asset requirements and applies deep functional and operating model knowledge to inform requirements. Collates information from Field locations which is used to build up an office portfolio database in the CoE. 

Workplace design: Collates information and requirements from Field locations and Asset business which informs a brief for projects and initiatives, and is provided to CoE Design to develop Field design guidelines for office environments.  Based on these guidelines, coordinates design/development for each project with CoE design, Architects, Technology and business stakeholders.

Projects: Delivers the project identification, study and execution strategy, which includes reshaping the office portfolio, workplace design and capital improvement. Manage local delivery of select projects with value less than $20M in collaboration with CoE.       
                                                                                                                                                                                                                    Financials: Manages and coordinates initiative budgets and any financial related process annual planning cycle.    

Feasibility and Business Case: Leads feasibility and business case developments in collaboration with CoE, to support Regional Managers. Approvals secured via the CaP process.  
Risk: Coordinates delivery of activities related to appropriate risk management of the initiative or project, such as health, safety, security, business continuity and risk control procedures.

Process Control: Monitors, implements and adjusts (in collaboration with CoE) the effectiveness of standard procedures, controls, work instructions and records management required for the effective execution of services. Adopts BoS framework as applicable.

Sourcing: Delivers supplier management, contract compliance and negotiations for workplace space leases and services via Commercial procedures and utilising administration resources and COE.   

Reporting: Manages initiative reporting on projects and initiatives and ensures content is relevant and effective. Leverages CoE PMO reporting methodology for leader and stakeholder engagement.                                                                                                                                                                                                                                                                                                                                 

About You

·       5-10 years experience in facilities management
·       Bachelors Degree in Engineering or Business Management
·       Advanced Microsoft Office Suite
·       5-10 years experience in project management
·       Office Lease negotiations
·       Business Case development skills
·       Advanced presentation skills
·       Must be able to travel up to 25% of time (domestic and international).
