About the role

The Principal Reporting is accountable to establish and maintain the service management framework within GAS, centre-wide, cross-functional performance metrics, and to identify key indicators for shared services benchmarking. In this role, the Principal Reporting will also refine the existing service delivery processes by supporting all teams in GAS to identify common areas for improvement (efficiency, cost, quality) through the performance reporting and benchmarking activities and is accountable to establish the planning and budgeting routines and deliverables for GAS. This role will be leading the financial planning and budgeting in accordance to BHP budgeting cycle and policy.

Service Management Framework (SMF)
  • Routinely reviews and updates the SMF to ensure functional alignment to scope, metrics and elements ‘in common’ (i.e. Intra Group Service Charge (“IGSC" models) remain relevant and fit for purpose and meet Function and GAS Leadership expectations.
  • Maintains regular engagement with the GAS Leadership team to ensure functional and centre-wide metrics and dashboards are aligned to commitments outlined within the SMF and that performance opportunities for improvement are identified and implemented.
  • Maintain and measure stakeholder requirements, including service management framework.
  • Reviews service delivery results with relevant stakeholders / representatives from customer entities.
  • Follows up, escalating and taking action if service delivery is not meeting expectations.
  • Coordinates and participates in monitoring, review and auditing processes related to service delivery.
  • Identifies and elevates issues impacting on achievement of service delivery objectives and to continually improve services.
  • Ensures service related documentation is accurate and kept up-to-date at all times.
Reporting & Shared Services Benchmarking
  • Develops common performance metrics for GAS e.g. attrition rate, cost per FTEs
  • Creates and implements the GAS performance dashboard for identified GAS Stakeholders based on the agreed timelines.
  • Effectively monitors, controls and supports functional routines in order to effectively report on agreed common measures of success.
  • Co-ordinates and participates in cyclical shared services benchmarking activities e.g. Ensure functional and common GAS performance metrics provide relevant and accurate insights and highlight continuous improvement opportunities.
  • Delivers ad hoc reports
  • Proactively ensures service continuity and improvement through the review of partner improvement plans, the use of Problem Management, quality tools, and report on your activities.
Planning and Budgeting
  • Responsible for coordinating the planning and budgeting for GAS in accordance to BHP budgeting cycle and policy.
  • Collates the budget estimates from the functions and examine them for consistency, accuracy and completeness, and conformance with established procedures, regulations, and organizational objectives.
  • Coordinates forecasts, 2 Year Budget and 5 Year Plan (financial) including preparation work such as instructions and timetables, checklists relating to 2YB/5YP and preparation and presentation of information sessions.
  • Complies with the approved policy of budgeting regarding the deadlines and the management of the budgeting process.
  • Consolidates the data for budget presentation and providing an overview of the financial status of all the functions.
  • Analyses and monitors actual results to budgets and forecasts.
  • Acts as an advisor to Functional Leaders in formulating their budget submissions.
  • Provides guidance and training on GAS forecasting and budget processes and policies.
  • Acts as the central point of contact for GFF for calculation and allocation of shared services related Intra Group Service Charges, tariffs and charge back models.
  • Maintains the budgeting policies and procedures manual in accordance to BHP Billiton GLDs and requirement, policies, documentations etc.
  • Proposes enhancements to the budget model
  • Establishes, maintains and leverages mutually beneficial and responsive relationships with key internal and external stakeholders

About You

  • Degree in any discipline, preferably supplemented by trainings/certifications related to reporting and benchmarking activities.

  • Excellent data analysis, reporting and problem solving skills
  • Effective communication skills including verbal, written and presentation skills
  • Solid stakeholder management experience across all levels and functions

  • Demonstrated willingness to be flexible and adaptable to changing
  • Strong multi-tasking and organizational skills
  • Proficient in the MS Office Suite of products, specifically Excel, Word, PowerPoint, Project and Visio
  • SAP and Shared Services experience, whilst not required would be favorable.
  • Fluent English, both verbal and written
