About the role

Joining the Infrastructure and Asset Management Shutdown team as an Administrator you will be required to coordinate Training and Authorisations to support the delivery of Major Shutdowns across BMA mine sites, as well as managing site access and provide day to day administration support to the team.   

This role based at our Central Queensland Office (situated at Peak Downs mine) and is offered on a 12 month fixed term contract with a possibility of being converted into a permanent role.  The roster is Monday to Friday, however during shutdowns you will be required to work an 8/6 roster.  

As the Administrator you will be responsible for:   
  • Managing site inductions, training, authorisations, supervisor appointments, certificates and work area familiarisations for all staff involved in the Shutdown;
  • Managing Permit to Work authorisations including Permit Issuer, Permit Holder and Authorised Isolators;
  • Undertaking verification on training documents, data entry and upload the system;  
  • Engaging and coordinating Trainer Assessors as per site requirement;
  • Maintaining Management Team Roster;
  • Managing crew list and information spreadsheet;
  • Maintaining data entry for the performance centre / Compliance dashboard;
  • Managing all electronic device authorisations (includes phones/cameras/PC’s etc.);
  • Setting up iPads and maintaining information regarding manning, supervisor, crew and trade listings for the time confirmation App.
  • Total management of the Time confirmation app/process/tech support including frequency of updates
  • Maintaining skills matrix;  
  • Maintaining Master staff file and assignment register;
  • Arranging travel and accommodation for the Major Shutdowns Department;
  • Organising  and managing events;
  • Record minutes of meetings as required
  • Managing bus schedule between site and village accommodation including ad-hoc bus runs for site evacuation (blast, weather etc.) and
  • Managing the purchasing of stationary, office equipment, staff uniforms and adhoc items required by the shutdown team.

About You

You will be an experienced Administrator who has previously supported a busy team with a proven ability to work autonomously, proactively establish priorities and meet time critical deadlines.  You consider yourself a self-starter who works well in a team with first-class communication skills.  It is important that you have strong attention to detail, along with good problem solving abilities.   

You will be an advocate for leveraging digital technologies to enable collaboration and the simplification of tasks, and possess strong knowledge of Excel, Powerpoint, Outlook, Sharepoint and Video Conferencing.  Previous experience with SAP would be beneficial.
