About the role

The Site Systems Administrator role has been established within the OS Execution Enablement Team to support the training & competency function. This site-based role is critical in supporting our deployments once they go live. It is a 12-month full-time position.

The nature of the administrative work surrounds supporting the trainers/assessors with training & competency requirements & documentation, training records management, data entry (Learning Management System – LMS), monitoring site access (i.e. Suresite), training compliance reporting, assisting with orientation & onboarding activities, coordinating training for employees, raising PR/PO’s, and supporting employees and Line Leaders with training systems issues.

Accountabilities include:

  • Team Focus - Work well across the OS Training Team to support fellow administrators based both on site and in our corporate offices to support all members of each deployment. This includes assisting the Logistics Coordinator with managing the attendance lists for the Orientation Sessions for each deployment, attendance records and preparing new starters for site access.
  • Customer Focus - Liaise professionally with both internal and external key stakeholders to ensure the training requirements for each deployment are addressed in a timely manner. This includes verifying training/assessment requirements for each new starter in preparation for their first swing with OS (i.e. facilitate handover from orientation/onboarding phase to deployment phase with Trainer/Assessor).
  • High Quality Focus - Undertake verification of each new starter’s skills in an accurate & timely manner to ensure they are work-ready by the required date. Conduct verifications of completed training/assessment documentation to ensure all competency requirements are met in line with site requirements. 
  • Systems Experience – Work with and assist others with training-related data management using the BHP systems. Including the verification of learning curricula assigned to employees, activating profiles, creation of records of completion, managing supply/purchasing records, and liaising with BHP local & global functions to troubleshoot any onboarding issues.
  • Compliance Focus – Ensure all records of completion at added to the LMS accurately so compliance data and subsequent reporting is precise. Work with Training Superintendents to ensure processes and procedures are implemented and updated in line with overarching BHP policy and the OS Way.
  • Organisational Skills – Work with Training Superintendents, Trainers/Assessors and Line Leaders to assist with closing any training gaps identified during the deployment and upskilling phases of deployment. Including working with external training providers to enrol, confirm, and organise payment of courses and also follow-up any certification resulting from training.

Additional duties include:

  • Active participation, compliance and contribution to the effective operation of BHP’s relevant HSE policies and systems.
  • Supporting training management systems for OS which are stable, efficient and effective in operation, including TNA and records management.
  • Actively participating in productive collaboration across the OS Training Team through BHP’s informal processes as well as formal forums and routines. 
  • Efficient and effective execution of projects or tasks assigned by the role manager, directly or as agreed by role customers.

About You

It is preferable that you will have…

  • Significant experience in a similar role within mining or heavy industry.
  • Experience with preparing training/assessment requirements in line with the site Training Matrix and TNA.
  • Strong experience in managing training compliance records.
  • An eye for detail and appreciating the importance of accuracy when maintaining live data.
  • Strong computer skills (especially MS Word, Excel and Outlook).
  • Experience using training management systems, especially BHP’s systems (Success Factors, SAP, Suresite/Rightcrowd, iPick, Hummingbird, etc.).
  • Experience raising purchase requisitions/purchase orders.
  • Strong interpersonal skills and the ability to build highly effective working relationships across a range of stakeholders and sites.
  • Ability to organise time and work autonomously in order to meet conflicting deadlines.
  • Show initiative and work with minimal direction, being resourceful and proactive in your approach.
  • Proven commitment to look after your own wellbeing and the confidence to speak up when others put themselves in harm’s way.

Your background in either a similar type of position or environment will see you well placed with the required capability to step into this opportunity. Your ability to manage training compliance systems is of the upmost importance as well as your organisation skills and ability to simplify work processes and identify process improvement opportunities. It is essential that you are forward thinking, highly collaborative and work with a one-team approach.
