About the Role
The Administrative Officer for People Logistics plays a critical role in supporting the operational and logistical needs of the team.
This role ensures smooth coordination of travel and accommodation workflows, provides frontline customer service support, and maintains high standards of accuracy and responsiveness.
Key Accountabilities:
1. Customer Service & Communication
- Serve as the first point of contact for internal and external inquiries via phone, email, and other channels.
- Provide timely and professional responses to queries related to travel, accommodation, and logistics.
- Maintain a courteous and service-oriented approach in all interactions.
2. Workflow Management
- Review, validate, and approve travel and accommodation requests in accordance with company policies.
- Coordinate with vendors and travel partners to ensure bookings are accurate and cost-effective.
- Monitor workflow systems to ensure timely processing and escalation of pending approvals.
3. Administrative Support
- Maintain accurate records of travel and accommodation requests, approvals, and expenses.
- Prepare reports and summaries for management review.
- Assist in updating logistics-related documentation and guidelines.
4. Problem Solving & Critical Thinking
- Identify and resolve issues related to bookings, scheduling conflicts, or policy discrepancies.
- Apply sound judgment in handling exceptions and urgent requests.
- Proactively suggest improvements to existing processes for better efficiency and service delivery.
5. Attention to Detail
- Ensure all data entered into systems is accurate and complete.
- Double-check booking details, dates, and traveler information to avoid errors.
- Maintain confidentiality and data integrity at all times.
6. Collaboration
- Work closely with People Logistics team members and other departments to align on travel needs and priorities.
- Support team initiatives and contribute to a positive and productive work environment.
About You
- With experience in travel administration and customer service;
- System processing
- Excellent communication skills
- With the ability to multi-task to manage competing priorities within very tight timeframes
- Proficient in using Microsoft Excel
