Location
You will be based in in our Adelaide CBD Office working Monday to Friday. Our office boasts the benefits of being housed in the award-winning GPO Exchange, Franklin Street – The true heart of the CBD where all the benefits of eateries and facilities are at your doorstep.
Our Franklin Street office boasts spacious state of the art facilities, inclusive of an endless flow of coffee pods from a state-of-the art coffee machine, fruit delivery, vending machines and endless places to break out and take in our views.

This role is estimated to require site travel approximately 4 times per year.
About the Role
Following internal promotion an exciting opportunity presents for an experienced Executive Assistant to work closely with the General Manager – Engineering, Infrastructure and Services and wider leadership team, providing experienced, professional and effortless executive administrative services. This role will suit someone who is engaging, organised, self-motivated and forward-thinking and who thrives in a fast-paced environment. Additionally, prior leadership and mentoring skills will be utilised to support a small team of administrative staff.
Key accountabilities include the following:
- Provide executive administrative support to the General Manager and ensure effectiveness of the leadership team.
- Proactive full calendar and email management to enable the efficient organisation and execution of activities.
- Management of day-to-day activities, forward planning, and co-ordination of meetings including site based meetings and co-ordination across multiple work groups.
- Actively identifies improvement opportunities and time optimisation solutions to forward plan work.
- Proactively manage information flow and communications, including internal and external calls, requests and correspondence and delegation of other matters to appropriate people.
- Collate and prepare presentations and papers, including collection and interpretation of data from key contacts.
- Co-ordination of site visits, including preparing the agenda, arranging meetings, and ensuring all activities are well planned.
- Project management of key events for the Infrastructure and Services team.
- Oversight of a team of administrators, ensuring accountability of given tasks.
About You
We are looking for someone who is a professional, collaborative, organised and adaptable. Experience in stakeholder management and administration at an executive level for a large organisation is preferred. Experience leading and mentoring a team is also desired.
The successful candidate will ideally possess the following:
- You have prior demonstrated experience in a similar role, supporting a highly functional corporate senior leader, whilst providing leadership skills in the management of a small administrative team.
- You will have a proven ability to work autonomously and proactively, establishing priorities and taking responsibility for time sensitive deliverables with a strong focus on diary management, e-mail and correspondence management and advanced operational skills in Microsoft Suites. SAP advantageous but not essential.
- Your strong problem-solving ability and organisational skills will be an asset.
- Your attention to detail, initiative, and ability to engage with a diverse range of stakeholders will be key to being successful. Your written and verbal communication skills are second to none and shine in this environment.
- You will be an advocate for enabling collaboration and the simplification of tasks.
- You will possess excellent verbal and written communication skills and can engage with all levels of the organisation.
- You will always maintain confidentiality with all correspondence and related material.
- Whilst professional at all times, you bring an energetic, positive and collaborate energy to your role, positioning you as someone stakeholders trust and admire.
