About the Role
As an Executive Assistant in our teams, you will play a key role in helping to support the Group Financial Controller and VP Finance Portfolio and Functions, along with other senior managers in the teams.
This opportunity will suit someone who has prior Executive Assistant experience, is highly organised and can thrive in a global, dynamic, fast paced environment. In this position you will provide administrative and operational support with responsibilities including:
- Executive diary and inbox management: proactive management of diaries and inbox, scheduling of internal and external meetings with senior executives (including the BHP executive leadership team) and related logistics and agenda preparation with a demonstrated ability to autonomously prioritise commitments along with managing stakeholder expectations;
- Reconciliation and submission of executive monthly expenses, ensuring alignment with BHP business expense policy;
- Booking and management of flights, transfers, visas and accommodation, ensuring cost effectiveness;
- Raising purchase orders;
- Supporting and coordinating the cadence and operating rhythm of the teams; arranging team events and catering; and communicating general updates with the teams as needed;
- Confidential Information Management: handle sensitive and confidential information with discretion and professionalism;
- Assist in the scheduling of preparation and review of Board and Board committee papers in line with required timelines;
- Monitoring and follow up of mandatory team training obligations;
- Problem solving and initiative: anticipate challenges and offer creative solutions to support the smooth operation of the day-to-day team activities.
- The role is based in Melbourne, Australia.
About You
To be successful in this role you will have demonstrated the following:
- High level of forward thinking, organisation, flexibility, delivery orientation, initiative and planning;
- Proven ability to build strong, open and collaborative work relationships with internal and external stakeholders at all levels of an organisation;
- An understanding and appreciation of working in a confidential environment is essential;
- Proven results working with a sense of urgency in a dynamic environment with rapidly changing priorities;
- Flexibility to step in and support the team when needed;
- Strong time management skills and the ability to prioritise conflicting issues in a professional manner;
- Demonstrated ability to take initiative, be proactive by taking action and be persistent in addressing issues;
- Excellent communication skills
- Advanced skills in Microsoft Word, Excel and PowerPoint and working knowledge in a SAP environment.
- Bachelor’s degree highly desirable
