Job Description

Group Governance is the global governance team that provides governance and company secretarial support to the Chairman, the Board, Board Committees and subsidiary entities.

Reporting to the Group Company Secretary, the Executive Assistant is responsible for ensuring the office of the Group Company Secretary is efficiently managed and well maintained and is the primary administrative liaison with the Group Governance team.

 

Key accountabilities included the following:

  • Provides executive administrative support to the Group Company Secretary and the Group Governance team.
  • Responsible for the proactive management of the Group Company Secretary’s diary and email.
  • Manages organisation of day-to-day activities, forward planning and co-ordination of meetings with Group Company Secretary.
  • Proactively manages information flow and communications, including internal and external calls, requests and correspondence and delegation of other matters to appropriate employees.
  • Provides general support for those outside Group Governance who are preparing to meet with the Group Company Secretary.
  • Oversees and manages the Group Governance budget for Group Company Secretary in accordance with budgetary guidelines by utilising appropriate accounts payable and reconciliation systems.
  • Coordinates Group Company Secretary domestic and international travel and logistics, including liaison with travel agents, customers, and other government and non-government agencies.
  • Collates and prepare presentations, papers, documents, including collection and interpretation of data from key contacts.
  • Responsible for all AGM support for the Group Company Secretary during AGM (Ltd and Plc).
  • Supports Group Company Secretary in Group Governance projects as required.
  • Maintains confidential records and filing of reports, correspondence and related material.

Skills and Other Qualifications

We are looking for someone who resilient, adaptable, and embraces change. You will be required to work well with ambiguity and under pressure, at times with conflicting priorities.   Ideally, you will have tertiary qualification or equivalent experience. Experience in stakeholder management and administration at an executive level for a large organisation is preferred.

 

The successful candidate is most likely to possess the following:

  • Legal Secretarial / Paralegal certificate valuable but not required
  • Sound business judgement, ability to maintain confidentiality and extremely strong commitment to high ethical standards, aligned to BHP Charter Values.
  • Excellent oral and written communication skills (crisp, confident, clear and succinct).
  • Significant and effective engagement with senior business stakeholders.
  • High professionalism and strong motivation, a positive outlook and a performance driven nature.
  • Excellent organisational skills with a focus on operating discipline and a performance driven nature. 
  • In depth experience with governance and Board processes.
  • Excellent skills in Microsoft Office products (PowerPoint, Excel and Word), Documentum, 1SAP, SharePoint and Diligent
