About the Role

We have an opening for an experienced Executive Assistant to support the Head of Asset Projects Copper and Coal and the Projects teams in Adelaide, Brisbane and various mine sites. Reporting to the Head of Asset Projects Copper and Coal, you will be responsible for providing high level support whilst offering general administration support to the team when required. You will have the ability to handle work in a fast-paced environment as well as being able to manage various and conflicting priorities with excellent attention to detail. You will be a strong communicator, comfortable with stakeholder engagement across all levels of the organization. This role can be based in Adelaide or Brisbane!

 

 

In this role your responsibilities will include:

 

 

  • Calendar management to enable the efficient organization and execution of daily activities for the HO Projects, including frequent domestic travel arrangements, travel agenda, site access coordination.

  • Provide secretariat services to the Ho and Lead team, including working with HO to set meeting agendas, document minutes and actions, reporting and document management 

  • Proactive management of Ho pre-read documentation for meeting attendance

  • Monitoring information flow with the lead team ensuring Ho’s involvement in project or decision-making process at the right time

  • Deliver discreet pieces of work on behalf of the Ho to support the overall objectives of the Project Function

  • Acting as the communication arm for the department with other stakeholders (internal and external)

  • Coordination and delivery of team events and leadership activities

  • Managing Ho communications, newsletters and BOS related activities

  • Managing and prioritizing interactions to ensure that commitments are maintained and met, and that objectives are achieved

  • General administration as required.

About You

 

  • You must have the ability to build strong and genuine relationships and work collaboratively with internal and external stakeholders across all levels

  • Exceptionally organized, proactive in your approach to work, with a strong ability to multi-task and prioritize a variety of complex tasks

  • Strong attention to detail, ability to understand complexity and a track record of providing quality information to senior management

  • Multi-tasking abilities to manage competing priorities within tight time frames 

  • Project and/or mining industry experience well regarded, with experience across a variety of roles.
