About the Role
The Logistics Specialist plays a key role in supporting the China Hub's operations, stakeholder engagement, supplier interactions, and leadership activities. This position combines office management, executive support, communications, translation, and coordination responsibilities to ensure the smooth operation of Hub activities and the effective engagement of suppliers, internal stakeholders, and senior leaders.
The role requires a highly organised, proactive, and bilingual professional who can operate independently, manage competing priorities, and build strong relationships across cultures and organisational levels.
Key accountabilities:
Hub Operations & Office Management
- Coordinate and manage in-country office and administrative activities for the China Hub.
- Plan and organise supplier visits, site tours, and "Go & See" programs for stakeholders across the business, including senior executives and leadership teams.
- Coordinate travel, accommodation, meeting logistics, and event arrangements for Hub-related activities.
- Support the delivery of key meetings, workshops, leadership visits, and stakeholder engagements.
Executive & Leadership Support
- Support the preparation, drafting, and management of executive briefing materials, leadership updates, presentations, and meeting packs.
- Coordinate leadership schedules and administrative activities associated with Hub operations.
- Maintain accurate records, action registers, and follow-up activities arising from key meetings and stakeholder engagements.
- Anticipate leadership requirements and proactively manage priorities to support effective decision-making.
Translation & Business Support
- Provide high-quality translation and interpretation support between Mandarin and English for business, commercial, and operational activities.
- Translate supplier information, presentations, contracts, reports, onboarding documentation, and other business materials as required.
- Support supplier onboarding and commercial processes through effective communication and document management.
- Ensure translations accurately reflect technical, commercial, and cultural nuances.
Communications & Stakeholder Engagement
- Support Corporate Affairs and Hub in developing internal and external communications.
- Assist in drafting communication
About You
Qualifications & Experience
- Previous experience supporting senior leaders in an Executive Assistant, Office Manager, Administrative Coordinator, or similar role within a large, global organisation.
- Demonstrated experience coordinating executive visits, events, stakeholder engagements, and complex administrative activities.
- Experience working across international teams and navigating cross-cultural business environments.
- Exposure to procurement, supplier management, commercial, logistics, or operational functions is advantageous.
Skills & Capabilities
- Fluent in both English and Mandarin Chinese, with exceptional written and verbal communication skills in both languages.
- Strong translation and document preparation capabilities, with the ability to communicate complex information clearly and accurately.
- Highly organised with excellent attention to detail and the ability to manage multiple priorities simultaneously.
- Able to work autonomously, exercise sound judgement, and proactively identify and resolve issues.
- Strong stakeholder management skills with the ability to engage effectively with senior leaders, suppliers, and external partners.
- Advanced Microsoft Office skills, including PowerPoint, Word, Excel, and Teams.
