About the Role
This role will contribute to the management of Document control (Documentum), Access Management (ServiceNow), Drawing Management activities (Meridian) and Project Engineering Information (Aconex).
Key Accountabilities:
- Manage document control, drawing management, and project information requests across systems such as Documentum, Meridian, ServiceNow, Aconex, and shared mailboxes.
- Receive, validate, process, and close document and drawing requests in line with agreed service levels, standards, and procedures.
- Maintain accurate document metadata, classifications, status, revisions, and controlled records to support data quality and information governance.
- Perform quality checks to ensure documents and drawings meet naming, numbering, formatting, approval, and governance requirements.
- Support project teams, asset stakeholders, and contractors with document retrieval, submission, transmittal, workflow, and system-related queries.
- Monitor work queues, shared mailboxes, dashboards, and registers to ensure requests are actioned in a timely and accurate manner.
- Identify recurring issues, data gaps, and process improvement opportunities, and escalate risks or blockers where required.
- Contribute to reporting, assurance activities, and continuous improvement initiatives that improve document control performance and service delivery.
About You
- Relevant experience in document control, drawing management, information management, or a similar administrative/technical support role.
- Experience working with engineering documents, vendor documents, project records, drawings, or controlled business information.
- Familiarity with document management systems such as Documentum, Meridian, Aconex, ServiceNow, or similar platforms.
- Strong attention to detail with the ability to maintain accurate metadata, records, and document information.
- Good communication skills with the ability to support stakeholders, clarify requirements, and follow up on outstanding actions.
- Able to manage workload, prioritise tasks, and work to agreed timelines in a high-volume operational environment.
- Comfortable using Microsoft Office applications, especially Outlook, Excel, Word, and Teams.
- A continuous improvement mindset with willingness to learn new systems, processes, and ways of working.
