About the Role

 

  • Coordinate key site statutory processes including S26 interviews and appointments, maintain confidential training records, and ensure compliance with statutory obligations and internal governance requirements
  • SharePoint site ownership and management
  • Management of distribution lists
  • Onboarding & offboarding new starters into Mines Portfolio
  • End-of-month reporting support
  • Create and distribute meeting packs and rosters for leadership team project review meetings
  • Minute taking for project leadership team meetings
  • Assistance with booking meeting rooms and routines for Project Director
  • Catering, events, and function management
  • Travel booking arrangements using SAM Workflow
  • Creating, seeking approval for, and sending delegation correspondence
  • Schedule monthly field leadership activities in Flex
  • Analyse and validate KPI metrics in Excel data input sheets to ensure accurate data flow to the digital dashboard
  • Accommodation costing support and travel approval management

About You

 

  • Previous experience in a project administration, project support, or administrative role
  • Strong capability in calendar management, meeting coordination, and minute taking
  • Proficient in Microsoft 365 (Outlook, Excel, Word, SharePoint), including reporting, data validation, and document formatting
  • Experience coordinating travel, accommodation, rosters, and mobilisation logistics
  • Demonstrated experience supporting onboarding and offboarding processes, systems access, and equipment coordination
  • High attention to detail with the ability to manage confidential information and competing deadlines
  • Proven ability to work with multiple stakeholders, including project teams, leadership, and contractors
  • Experience in major projects, construction, mining, or resources environments
  • Exposure to governance, compliance, or statutory administration
  • Familiarity with workflow, travel, access, or roster management systems

 

Location: Western Australia – Pilbara – WA Major Projects – Mines Portfolio – Ministers North Project – 8 days on, 6 days off
