About the Role

We are seeking a highly motivated individual to join the GBS Order-to-Cash Contract Operations team. Reporting to the Team Lead Contracts Operations, the Contract Operations Specialist is responsible for accuracy and timeliness of the full scope of Commercial Contracting activity, including prompt contract entry adjustments, contract reconciliation or contract drafting, to ensure adherence to BLD requirements and trade book integrity.
 
This role provides the opportunity to acquire intimate knowledge and understanding of both commercial Sales & Marketing and Maritime contracting, the operational aspects of executing against our contractual commitments, and will encompass stakeholder management across multiple levels and functions. The Contracts Operations team forms one of our core lines of defense to ensure our order-to-cash responsibilities are executed as per our contractual requirements.
 
 
Core Accountabilities:

 

  • Cultivates positive relationships through effective communication and provides constructive feedback to peers on a regular basis. 
  • Planning and prioritizing work in collaboration with key stakeholders, focusing effort on the things that matter the most and create value for our organisation
  • Consistently looking for opportunities for improvement and streamline the contracting process. Engages in cross functional working groups to support functional excellence, governance, general improvement initiatives. Contributes and/or leads productivity improvement projects.
  • Take accountability for and own the governance controls applicable to the contract process, underpinned by an intimate and holistic understanding of our governance framework and the strategies they support. Proposes alternative controls and/or simplification opportunities when governance/compliance frameworks seems ineffective. Identify and confidently escalate risk control deficiencies which factor in applicable regulations, laws and policies.
  • Understand the value of key commercial terms and provide advice as required. Understand the commercial strategy and can connect elements of the strategy with clauses in the standard contract, identify and proposes opportunities to improve tactical delivery of the strategy in contracts and contribute feedback to key stakeholders.
  • Construct and deliver clear messages by adapting the level of detail and style for different audiences and situations.  You're approachable, tactful, genuinely caring and considerate of others, building and maintaining relationships. 
  • Accurate and timely execution of contracting activities in alignment with KPIs and processes including contract management through SAP capture and manual drafting process, iCertis/CLM, reconciliation of key contractual terms, conducting of seamless reporting to drive insights.

About You

  • Applies an understanding of the wider business context in day-to-day operations, considering our operating model and ways of working to enhance decision making, productivity and value chain performance.
  • Have a basic understanding of international trade terms, freight, distribution, contract law, incoterms and trade financial instruments.
  • Demonstrate a strong attention to detail and awareness of key governance and risk related controls.
  • Takes the initiative and drives mutually beneficial outcomes.
  • Possess good communication and negotiation skills, both written and verbal, demonstrating the ability to maintain relationships with range of culturally diverse- cross functional stakeholders.
  • Identifies, implements and evaluates the success of continuous improvement activities/initiatives to improve the safety, effectiveness and efficiency of BHP systems and processes.
  • Relevant working experience in either contract management or commodity trading roles preferred.
