About the Role

We are looking for an exceptional administrative professional to play a pivotal role in ensuring the seamless functioning of a busy Corporate Affairs and Communications team across the US. The ability to juggle multiple assignments while remaining calm, cool, and collected—and do it all with a good sense of humor is an essential part of the job.  

  • Develop and maintain an external engagement schedule for BHP across the US, thoughtfully anticipating and managing administrative and process requirements associated with this schedule. 
  • Work with the Head of Corporate and External Affairs to manage and prioritize weekly workflow, meetings, pending decisions, calendars, messages, and incoming materials for review. 
  • Manage the overall schedule for and administrative needs of the Head of Corporate and External Affairs, including thoughtfully managing travel arrangements, monthly expense requirements, scheduling meetings across global time zone.
  • Help organize team activities as well as assess and prioritize daily tasks and manage long-term responsibilities.
  • Process purchase orders, invoices, compliance pre-approvals, speeches and presentation lodgement processes, and vendor support as required by the Corporate Affairs and Communications team across the US. 
  • Monitor the Corporate Affairs and Communications budget. 
  • Assist with briefing note and presentation development including basic research, brief compilation, proofreading and editing.
  • Manage and work with legal staff on submitting monthly, quarterly, and annual lobbying disclosures to Congress.
  • Support the Corporate Affairs and Communications team in the planning and execution of key events sponsored by BHP across the US. 
  • Support executive level meetings across the US with engagement planning, travel arrangements, catering, and other logistical needs.
  • Communicate effectively on behalf of the team to outside vendors and business partners. 
  • Handle confidential, sensitive, and nonroutine information and matters with discretion, confidentiality, and integrity.
  • Manage the Washington office facility and logistical needs by coordinating with the building owners, addressing maintenance requirements and manage supporting service vendors.
  • Take on special projects and additional duties as assigned.

About You

This role calls for a motivated, highly organized, and detail-oriented professional with strong MS Office, SAP, Concur and other technical skills. It is best suited for an individual with superior organization, communications and administrative skills who can effectively anticipate the needs of a small but highly active team.

  • Go-getter with an optimistic outlook and positive attitude with interest in learning and contributing on projects no matter how large or small. 
  • Interest, education, or experience in political science and/or government affairs.
  • At least five years of prior work experience in an administrative or operations management capacity; previous experience in an executive assistant role, preferably for a principal, is strongly preferred.
  • Thorough knowledge of Microsoft Word, Excel, SAP, Concur and Outlook.
  • Strong written and verbal communication skills and the ability to undertake basic research.
  • Ability to be a self-starter who takes initiative and can work autonomously but knows when to ask for guidance.
  • Excellent interpersonal skills and the ability to remain calm under pressure and meet a heavy workload.
  • Ability to plan, set priorities, and stay organized.
  • Ability to produce and implement consistent systems for keeping track of overflow of information.
  • Post-secondary qualification in communications, event management, operations or other relevant field highly advantageous.
