What We're Looking For
We are searching for someone who enjoys working with people and has a passion for finding structured solutions.
- Proven experience in office administration or facilities management within a corporate environment.
- Experience supporting technology or global delivery teams.
- Knowledge of vendor management systems and procurement processes.
- Strong organisational and multitasking skills with attention to detail.
- Excellent communication and interpersonal skills.
- Proficiency in MS Office Suite and familiarity with basic financial processes.
- Ability to work independently and manage priorities in a fast-paced setting.
About The Role
The Office Administrator will provide essential on-premises support to ensure smooth day-to-day operations for Technology India. This role is critical in creating an efficient, safe, and welcoming environment for our teams.
In this role, your key accountabilities will include:
- Support the Manager Technology India in the coordination of day-to-day operations of the team in India including reporting on performance, KPIs, performance boards, etc.
- Be the central contact for corporate office for Technology to co-ordinate logistics including but not limited to travel (domestic and international), collaboration opportunities with key stakeholders, local logistic requirements.
- Support new team with information regarding BHP Business Acumen, BHP Ways of Working, BHP Tools and Systems and BHP Code of Conduct.
- Liaise with building management and vendors for maintenance, security, and housekeeping.
- Manage contracts and service agreements to ensure compliance and cost efficiency.
- Assist with onboarding logistics for new hires (workspace setup, access cards, welcome kits) as well as developing and presenting inductions for local office.
- Planning and prioritising local events and team activities for corporate office including safe starts, team building and other routines as determined for the team.
- Ensure adherence to health, safety, and security protocols.
- Maintain accurate records for audits and reporting requirements.
- Process invoices, raise purchase orders and assist with budget tracking.
- Support procurement activities for office-related needs.
- Applies an understanding of the business context, BHP operating model and ways of working to enhance decision making, productivity and value chain performance.
