About the Role
We are currently seeking an experienced and highly motivated Team Administrator to join our dynamic team in Brisbane.
Reporting to the Head of HR for BMA, you will be responsible for overseeing and managing all day-to-day administrative tasks to allow your Leader to focus on high-level strategic responsibilities.
Key Responsibilities
- Drafting, reviewing, and sending communications on behalf of Head of HR
- Collaborating closely with the team to produce deliverables such as reports and presentations and identifying opportunities for improvement and time optimisation
- Proactively planning work to ensure the effectiveness of the team, addressing key focus areas, managing preparation, and fostering team/stakeholder engagement
- Managing diaries and emails to facilitate efficient organisation and execution of daily activities
- Preparing agendas, presentations, reports, and coordinating meeting logistics
- Utilising SAP for purchasing (POs/PRs) and expense reconciliation
- Review and report on monthly budgets and expenses
- Handling event management with internal and external stakeholders, supporting projects, and undertaking ad hoc duties
- Managing travel arrangements including booking, generating itineraries, and providing support
- Active involvement in the local community and supporting Leader on projects as needed
- Supporting other business functions as required (e.g. HR, Finance, HSE)
- Stakeholder Management - facilitate communication between HR Sub-Functions and and internal/external stakeholders to ensure seamless operations.
About You
As Team Administrator, integrity and strong interpersonal skills are essential in order to foster collaborative working relationships. Your ability to consolidate and analyse information while providing critical thinking and a solution-focused attitude will be key to your success in this role.
You will also demonstrate the following:
- Previous experience as an Executive Assistant / Team Administrator with a track record of supporting senior executives, capable of working autonomously, establishing priorities, and managing time-sensitive deliverables
- Possess strong problem-solving, communication, and organisational skills, along with attention to detail, initiative, and the ability to engage with diverse stakeholders
- Demonstrate a clear passion for improving the workplace every day
- Ability to manage confidential and people related data and information
