About the Role

 

As a Team Administrator, you will play a pivotal role in supporting the Vice President Corporate Affairs Australia and the Corporate Affairs Australia Leadership team.  

 

This opportunity is ideal for someone with prior Executive Assistant experience, who is highly organised and thrives in a global, fast-pace and dynamic environment. 

 

In this role, you will provide comprehensive administrative and operational support, including:

 

  • Executive diary management: Proactively manage calendars, coordinate internal and external meetings with senior executives (including the BHP Executive Leadership Team), and handle logistics and agenda preparation. Demonstrated ability to independently prioritise commitments and manage stakeholder expectations is essential.  
  • Expense reconciliation: Prepare and submit monthly executive expense reports in alignment with BHP’s business expense policy.
  • Travel coordination: Book and manage flights, transfers, visas, and accommodation, ensuring cost-effectiveness and efficiency.
  • Procurement support: Raise and manage purchase orders as required.
  • Team budgeting support: Assist with tracking, reconciling, and reporting on team budgets, ensuring alignment with financial processes and timelines.
  • Team rhythm and engagement: Support the cadence and operating rhythm of the team, including organising events, catering, and sharing general updates.
  • Confidential information management: Handle sensitive and confidential information with discretion and professionalism. 
  • Board paper coordination: Assist in scheduling, preparing, and reviewing Board and Board Committee papers in accordance with required timelines.
  • Training compliance: Monitor and follow up on mandatory team training obligations.
  • Problem-solving and initiative: Anticipate challenges and proactively offer solutions to ensure smooth day-to-day operations.
