About the Role
We are currently seeking for a Team Assistant to support both the Head of Global HR Operations & Head of Global Payroll Operations based in Manila.
You will be responsible for providing a high level of executive support and managing all day-to-day administrative tasks to allow your Leaders to focus on high-level strategic responsibilities.
Key responsibilities:
- Drafting, reviewing, and sending communications on behalf of the Heads Of
- Collaborate with Leaders to produce deliverables such as reports and presentations and identifying opportunities for improvement and time optimisation
- Proactively planning work to ensure the effectiveness of the team, addressing key focus areas, managing preparation, and fostering team/stakeholder engagement
- Managing diaries and emails to facilitate efficient organisation and execution of daily activities
- Planning the ILO in alignment with BOS practices and ensuring integrated alignment across L2-L4 routines
- Preparing agendas, presentations, reports, and coordinating meeting logistics
- Utilising SAP for purchasing (POs/PRs) and expense reconciliation
- Handling event management with internal and external stakeholders, supporting projects, and undertaking ad hoc duties
- Managing travel arrangements including booking, generating itineraries, and providing support
- Active involvement in the local community and supporting Leaders on projects as needed
About You
Integrity and strong interpersonal skills are essential. Your ability to consolidate and analyse information while providing critical thinking and a solution-focused attitude will be key to your success in this role.
You will also demonstrate the following:
- Previous experience as a Team Administrator or Executive Assistant with a track record of supporting senior executives, capable of working autonomously, establishing priorities, and managing time-sensitive deliverables
- Possess strong problem-solving, communication, and organisational skills, along with attention to detail, initiative, and the ability to engage with diverse stakeholders
- Demonstrate a clear passion for improving the workplace every day
